Privacy Policy

What personal information Artemis handles, why, and who else processes it.

Scope

This policy explains how Artemis Inc. handles personal information about people who use Artemis. For the business data an organization puts into Artemis, that organization decides what is collected and why; we process it on its behalf. [Data protection agreement to be added.]

What we collect

  • Account details: your name, email address and a hashed password (we never store the password itself).
  • Membership details: the organizations you belong to, your role and title.
  • Security records: sign-in events, the IP address and browser of requests, and the organization’s audit log of important actions.
  • Content you and your organization add or connect: documents, ledger entries, workbooks, plans, tasks, and data read from connected systems such as QuickBooks Online and HubSpot.
  • Questions asked of Ask Artemis and its answers, which are private to the person who asked.

Cookies

Artemis sets two cookies: one that keeps you signed in, and one that remembers your light or dark theme. There are no advertising or cross-site tracking cookies, and no third-party analytics.

How we use it

  • To provide the service: sign you in, show your organization’s data to the roles allowed to see it, and run the features you use.
  • To keep it secure: detect abuse, rate-limit attempts, investigate incidents and keep the audit log.
  • To send the emails the service needs, such as invitations, address confirmation and password resets.
  • We do not sell personal information or use it for advertising.

Artificial intelligence

Ask Artemis sends data to an external AI model only when an owner of the organization has turned on external AI processing. When it is on, the question and the passages Artemis retrieves to answer it are sent to Anthropic, our AI provider, under its commercial terms. Until it is on, Ask Artemis can run only its labeled demonstration mode, which sends nothing outside Artemis.

Who processes it for us

The service providers listed on the Subprocessors page host, store, email and (when allowed) analyze data for us. Connected systems such as QuickBooks Online and HubSpot are chosen and authorized by your organization.

Where it is stored

Artemis is hosted on Vercel, and its database is stored with Neon in the US East (Washington, D.C.) region. [Confirm regions for file storage and email, and any international transfer mechanisms.]

How long we keep it

Organization data is kept while the organization uses Artemis. Sessions expire, and sign-in links expire within a day. [Retention periods after an organization or account is closed to be added.] An owner can export everything at any time.

You can update your name and password in Settings → Your profile. To access, correct or delete personal information, contact your organization’s owner or write to [contact email to be added]. [Rights under specific laws, such as GDPR or CCPA, and how to exercise them, to be added by counsel.]
